Action24 unlocks operational efficiency through Zoho Analytics

The company

Action24 is a Dublin-based security solutions provider, founded in 1981, offering nationwide intruder alarm and CCTV installation, monitoring, and maintenance. Operating from its Sandyford headquarters with a 24-hour alarm receiving center, the company has over 40 years of industry experience and is licensed by the Private Security Authority (PSA) and certified by SSAIB, with a strong focus on making people feel safer.

The challenge

Action24 relied on multiple disconnected legacy systems, resulting in data silos across sales, finance, and operations. These systems functioned in isolation and significantly limited their end-to-end visibility.

Critical business processes involved cumbersome manual data transfers into multiple unlinked spreadsheets. This increased effort stalled reporting cycles and had a high risk of errors and inconsistencies.

Sales data was also fragmented, resulting in a critical lack of visibility into the sales pipeline, recurring revenue, and forecasting accuracy. Lack of integration in the sales and finance departments data had a detrimental impact on the quote-to-invoice cycle. Because the process was manual and spreadsheet-driven, it caused delays, increased errors, and disrupted the alignment between departments.

Action24's product information was maintained across multiple systems and different spreadsheets as well, leading to inconsistencies and unreliable reporting. Pre-populating products for different scenarios (domestic vs. commercial) was a manual, error-prone process, resulting in quote inconsistencies. Commercial estimation relied on individual spreadsheets rather than a centralized, dynamic system, leaving no single source of truth for product data. This non-integrated approach caused inconsistent product selection, required significant effort to consolidate estimates, and offered limited visibility into the sales pipeline.

Without insights, teams operated in a reactive mode, unable to proactively track performance and identify trends across departments. Action24's CEO, Aaron Mooney, realized that streamlining core financial processes was key to unlocking better efficiency and overall organizational growth.

The solution

Aaron found CBOSIT, an official Zoho Partner. Together, they leveraged Zoho's comprehensive software capabilities to transform Action24's financial operations and strengthened its ability to interpret data and drive the business forward.

Through Zoho Analytics native integration, data from Zoho apps was seamlessly brought into the platform. Sales and lead data from Zoho CRM, financial transaction data from Zoho Books, detailed estimation data from Zoho Sheets, and project-related documents from Zoho WorkDrive were compiled and analyzed. This end-to-end integration capability consolidated information into unified data sources, enabling deeper performance insights.

Reports and dashboards were built by blending data across multiple Zoho applications. Dashboards covering sales pipelines, recurring revenue streams, product performance, and overall operational health are now used in regular review meetings as the single reference point for decision-making.

Sales pipeline dashboard
This delivered deeper insights into leads, opportunities, conversion rates, deal stages, sales, pipeline conversion rates, and deal velocity.

Recurring revenue dashboard
This enabled Action24's leadership to monitor maintenance contracts and renewals and provided them with insights into recurring income trends.

Product performance dashboard
This dashboard enabled the team to gain better visibility into product performance by type, region, customer segments, and demographics.

Operational health dashboard
This provided clarity on high-level views of business performance across sales, finance, and service operations.

Action24 highlighted several favorite features that have greatly enhanced the reporting and decision-making process:

  • Interactive reports and dashboards: This feature enables them to monitor near real-time performance with intuitive visualizations for leadership, and its teams appreciate the ability to explore granular data by region, product, customer, or time period.
  • Data blending across Zoho apps: Seamless integration provides a unified and bird’s-eye view of the business to Aaron's leadership team.
  • Scheduled reports: Automated report delivery supports regular operational and management reviews.
  • Custom queries & advanced analytics: These features give the team the flexibility to extract highly specific operational data for ad-hoc and deep-dive analyses.
