Card Mapping

Card Mapping lets you choose how a corporate card in Zoho Expense is reconciled in Zoho Books, either by keeping it as a separate card or by linking it to an existing commercial card. Once linked, unmatched, matched, and approved transactions from the corporate card in Zoho Expense are posted to the mapped commercial card in Zoho Books. This means transactions from multiple corporate cards in Zoho Expense can be reconciled under a single commercial card in Zoho Books, reducing the reconciliation effort for your organisation.

Notes:

  • This feature is currently in early access. Write to us at support@zohoexpense.com to enable it in your organisation.
  • Card Mapping can be configured or modified only in the Admin view.
  • Card Mapping to an existing card is supported only for commercial cards in Zoho Books. Standalone corporate cards, debit cards, bank accounts, and other account types in Zoho Books cannot be selected.
  • Card Mapping is not supported while automatically connecting a corporate card. It can be configured only during manual card connection, by editing an existing card, or through bulk update.
  • When a corporate card is mapped or remapped, existing Approved, Categorised, and Reconciled transactions are not transferred to the commercial card. They remain associated with the card to which they were originally posted. Only transactions processed after the mapping takes effect are posted to the currently mapped commercial card in Zoho Books.

Mapping Conditions

Card Mapping is supported only when all of the following conditions are met:

  • The card in Zoho Expense must be a corporate card.
  • The card in Zoho Books must be a commercial card.
  • Both cards must have the same currency.
  • User Paid Corporate Cards cannot be mapped, as employee-paid expenses are not reconciled in Zoho Books.

Configure Card Mapping

You can set up Card Mapping using three methods:

During Manual Card Connection

When you manually connect a corporate card, you can choose how to reconcile it in Zoho Books during the connection flow.

Prerequisite: You must be an Admin to manage corporate cards.

To configure Card Mapping while manually connecting a card in Zoho Expense:

  • Click Admin View.
  • Go to Corporate Cards on the left sidebar.
  • Click + Connect Corporate Card at the top right corner.
  • Fill in the card details such as Bank Name, Billing Date, and Account Owner.
  • Under Choose how you want to reconcile this card in Zoho Books?, select Keep as separate card to add this card as a separate card in Zoho Books, or Link to an existing card to map it to an existing commercial card in Zoho Books.
  • If you select Link to an existing card, under Select Card, choose the commercial card in Zoho Books that you want to map this card to. This card will then appear as a child card under the selected commercial card in Zoho Books.

Edit Card

You can set or change the Card Mapping for an existing corporate card by editing it.

To configure Card Mapping by editing an existing card:

  • Click Admin View.
  • Go to Corporate Cards on the left sidebar.
  • Click the name of the card you want to update.
  • Click the More icon and select Edit.
  • Under Choose how you want to reconcile this card in Zoho Books?, select Keep as separate card to add this card as a separate card in Zoho Books, or Link to an existing card to map it to an existing commercial card in Zoho Books.
  • If you select Link to an existing card, under Select Card, choose the commercial card in Zoho Books you want to map this card to. This card will then appear as a child card under the selected commercial card in Zoho Books.
  • Click Update.

Note: Transactions will sync from the date of the change. Older transactions that have been approved will not be fetched.

Bulk Update

You can map multiple corporate cards in Zoho Expense to a commercial card in Zoho Books in a single action using Bulk Update.

To configure Card Mapping using Bulk Update:

  • Click Admin View.
  • Go to Corporate Cards on the left sidebar.
  • Select the checkboxes next to the cards you want to update.
  • Click Bulk Update.
  • Under Choose how you want to reconcile this card in Zoho Books?, select Keep as separate card to add the selected cards as separate cards in Zoho Books, or Link to an existing card to map them to an existing commercial card in Zoho Books.
  • If you select Link to an existing card, under Select Card, choose the commercial card in Zoho Books you want to map the selected cards to. These cards will then appear as child cards under the selected commercial card in Zoho Books.
  • Click Update.

Note: Transactions will sync from the date of the change. Older transactions that have been approved will not be fetched.
