Activity Reports - Overview

The Activity reports section in Zoho Billing comprises of reports related to your system mails, portal activities, activity logs and important details that allow you to track and oversee your business operations.

Zoho Billing supports the following Activity reports:

System Mails

The System Mails report in Zoho Billing displays a list of all emails generated by your Zoho Billing organization.

How is this report helpful for your business?

The System Mails report allows you to view a list of all emails generated by your organization. This is particularly helpful to filter to view the desired types of emails directly from one place and keep track of all emails sent.

Scenario: Charles Stone, the owner of Zylker, wants to view the list of all emails that were sent from Zoho Billing. Using the System Mails report in Zoho Billing, he can view the list of all email sent from his Zoho Billing organization and further filter them based on Mail Type. For example, this can be particularly helpful to find out the list of invites sent to different users to join the organization.

Activity Logs & Audit Trail

The Activity Logs & Audit Trail report in Zoho Billing displays a list of all activities, such as transaction creation, in your Zoho Billing organization. You can also click View Audit Trail next to an activity to view the list of changes made to that activity, along with who made the changes. You can also click Compare in the Audit Trail report to view the changes in different versions of the activity.

Scenario: Patricia Boyle, who works on the audit team at Zylker, found out discrepancy at a record, and wants to find out who made the change to the particular record and at what time. Using the Activity Logs & Audit Trail report in Zoho Billing, she can find out the exact time at which the record was updated, along with the user who updated the same. She can further compare the different versions and reach out to the person to figure out the reason why the change was made.

Portal Activities

The Portal Activities report in Zoho Billing displays a list of all details related to your Customer Portal, ranging from customers signing up and logging in to the Customer Portal, to updating their Customer Portal information.

How is this report helpful for your business?

The Customer Portal is an important platform which connects your business with your customers, allowing them to view and manage their subscriptions, pay for invoices and update their information. The Portal Activities report allows you to track activities performed by your customers in the Customer Portal.

Scenario: Aaron Brown, the head of customer management at Zylker, wants to view a list of all the activities that a customer has done in the customer portal in the current month. Using the Portal Activities report in Zoho Billing and filtering it to view the report only for a particular customer for the current month, he can view the required data, and take further actions.

Customer Reviews

The Customer Reviews report in Zoho Billing displays a summary of total number of customers who gave your business a review of 5 stars, 4 stars, and less than 4 stars, along with a list of all customers who gave you reviews for the selected period.

How is this report helpful for your business?

The Customer Reviews report in Zoho Billing allows you to gain insights into how your customers rate your products and services over a period of time. This lets you gain insights into how your products and services are perceived by your customers and allow you to reach out to customers who have given you a lower rating to understand their pain points, and try to improve them to improve your rating.

Scenario: Patricia Boyle, the head of the customer management team at Zylker, wants to view how their customers rate their services. Using the Customer Reviews report in Zoho Billing, she can view how many 5 star ratings, 4 star ratings, and less than 4 star ratings Zylker has received from its customers. She can also view the list of customers who have given reviews, and reach out to customers who have given a lower rating to understand and address their pain points, and improve them to improve your ratings.
