Why do government offices need a scheduling solution?

In addition to simplifying scheduling for citizens and public servants, Zoho Bookings makes scheduling transparent. Citizens know who they're meeting with, officials understand citizens' needs and senior staff can oversee the entire team's operations. If you're a government body facing any of the following challenges with respect to scheduling, Zoho Bookings is for you.

  • Manual scheduling is taxing due to the amount of back-and-forths and the volume of incoming requests.
  • Your workload is unpredictable. Some days you only have a few appointments. On others, you are overwhelmed.
  • You often stay late on crowded days to finish up or have to request that citizens come back the next day. Either way, someone pays the price.
  • Lack of clarity and wait times frustrate queued citizens, leading to confrontations that put extra pressure on you.
  • You are constantly overwhelmed by scheduling system outages.
  • Data is spread all over: printed forms, spreadsheets, handwritten notes, email inboxes, internal databases, and more!

Your data is always yours

Government scheduling solution that has your back

01

Reliable and dependable

Zoho Bookings can handle high volumes of appointment requests and remain stable even during peak demand—with greater than 99.99% uptime.

02

Control your workload

Prevent citizens from overbooking slots and stop spam bookings with appointment limits. Limit appointments by event type, email, a specific period or any other criteria of your choice.

03

Guide people to the right service

Use routing forms to ask a few questions before someone books and direct them to the appropriate department or service based on their responses. Reduce incorrect bookings and help people reach the right public service without any manual errors.

04

Keep citizens notified

Remind citizens of their upcoming sessions and reduce no-shows via automated communications. Send notifications and reminders via email, SMS or WhatsApp. Alternatively, you can set up workflows to collect feedback or have citizens book their follow-up visit.

05

Handle multiple locations or departments

Use workspaces in Zoho Bookings to group services based on location or departments. For example, the Florida DMV would need separate workspaces for branches in different locations. You can also assign an official as the workspace admin to oversee all operations under that location or department.

06

Let people manage their own appointments

Give people a dedicated portal where they can keep their appointment details in one place. Registered users can view upcoming appointments and reschedule or cancel bookings themselves giving visitors more control over their appointments.

07

Serve people in their preferred language

Make public services easier to access with multilingual booking pages. Display pages based on a visitor's browser language, set a fixed language, or enable a language switcher so people can choose from supported languages when scheduling an appointment.

08

Controlled system access

Set access levels in your booking system with user roles in Zoho Bookings. Assign roles to officials based on their responsibilities. There are four major roles: staff, manager, workspace admin, and admin, each more powerful than the last.

09

Make scheduling accessible to everyone

Offer an inclusive booking experience with support for screen readers, keyboard navigation, high-contrast themes, and clear text-based instructions. Zoho Bookings also supports left-to-right and right-to-left text, helping more people navigate booking pages and schedule appointments independently.

10

Generate customizable reports

Identify bottlenecks in your workflow or reassign officials to high-volume departments with customizable reports. You can customize based on appointments, revenue, event types, staff or more.

Frequently Asked Questions

1. Where is my data stored and who will have access to it?

Zoho has data centers all over the world, and your data is stored in the data center corresponding to the country selected when you sign up. We at Zoho will not be able to access your data, unless you choose to share it temporarily for troubleshooting purposes.

2. Will citizens need to create an account to book an appointment?

While Zoho Bookings allows users to book appointments even without an account, they can opt to create one to keep track of all their past and upcoming sessions.

3. Can Zoho Bookings only cater to online appointments? What about walk-ins?

You can schedule walk-ins, too. Bookings offers a flexible system to bring all your appointments into a single dashboard. Using the admin dashboard, receptionists can schedule walk-in appointments on behalf of citizens anytime. Once a slot is booked, it is automatically removed from the booking page to eliminate double-bookings.

4. How much does Zoho Bookings cost?

You are charged based on the number of users, workspaces (if you need multiple locations or departments) and the resources (if you rent any resources) you need. You can pay for them monthly or get a 25% discount when you opt for our annual plans. Read more about pricing.

5. Can I display the booking page in languages other than English?

Yes, you can also showcase the booking page in French, German, Spanish, Dutch, Portuguese, Arabic, Japanese, Hebrew, Italian, Romanian, Russian, Swedish, and Swahili.

6. Can Zoho Bookings integrate with other apps?

Of course! Zoho Bookings can integrate with online meeting tools, your external calendars, your favorite Zoho apps, payment providers, website and more!
