La Maison des parents d’enfants handicapés uses Zoho Flow to streamline their data management

La Maison des parents d’enfants handicapés des Laurentides (LMDP) is a nonprofit organization created in 1988 in Saint-Jérôme, in the Laurentians, Québec, Canada. It was started by the parents of disabled children in the hope of discussing and supporting each other. Now they have over 70 employees to assist families in need.
Their mission is to offer varied services adapted to the needs of people with intellectual disabilities, with or without physical disabilities, and along with family members and guardians, to promote their social inclusion and well-being. The challenge
With over 35 years of caring for children with special needs and their families, LMDP knows that each case is unique—some might have more than one employee or volunteer assisting and may not be for the same disability. They wanted to maintain a comprehensive database for each case, to ensure the right care is given while maintaining a complete history.
That's when they contacted BSP, a Zoho Premium Partner in Québec, Canada. With the help of BSP, they started using Zoho CRM to store data for each case. This enabled them to link the file of the person requiring care with the other people responsible. Information important to offering the right care, such as consultation notes from multiple handlers, is now stored in a personalized module in Zoho CRM.
After every consulting session, the case manager, and other people associated with the case, fill in and submit a questionnaire to record the details of the session. LMDP decided to use Zoho Survey to host the questionnaire. They used native integration to connect Zoho Survey and Zoho CRM to keep an updated record for each case. However, they faced a challenge; this integration only allowed them to integrate with one module, which didn't help them maintain a fully updated record of the case—in other words, it didn't address their exact needs.
The solution
They wanted to integrate Zoho Survey and Zoho CRM, in a way where the integration checks if the questionnaire has been filled in by all associated parties after a session. This is where Zoho Flow was able to help them. They created a flow that gets triggered when a response is completed in Zoho Survey. The flow fetches the case records in Zoho CRM and checks if the questionnaire has been filled in by the case manager and the people associated with it. The flow then fetches the case using a unique identifier, such as an email address, and updates the case file in a custom module built in Zoho CRM.

With the help of Zoho Flow, LMDP have automated their manual administrative work, especially when a session ends. In the past, they experienced data loss, data inconsistencies, and transcription errors due to manually entering data across different systems and then creating a PDF of it. Now they no longer face these issues and have also accelerated their data collection and processing.
