Pine Labs

Pine Labs is a payment platform that lets you accept in-person payments through POS terminal devices. You can connect your Pine Labs merchant account to Zoho Billing and record customer payments collected through Pine Labs terminals directly against their invoices.

This setup applies to the India edition of Zoho Billing.

Obtain Pine Labs Credentials

Before you set up Pine Labs in Zoho Billing, you must obtain your Client ID and Client Secret from your Pine Labs Merchant Dashboard.

  • Sign in to your Pine Labs Merchant Dashboard.
  • Go to API Settings.
  • Copy the Client ID and Client Secret shown on the page.

Keep these credentials handy, as you will need them to set up Pine Labs in Zoho Billing.


Set Up Pine Labs Terminal

To set up Pine Labs Terminal:

  • Go to Settings and select Payment Gateways under Online Payments.
  • Click Set Up Now next to Pine Labs.
  • Enter the Client ID and Client Secret obtained from your Pine Labs Merchant Dashboard.
  • Click Save.

Pine Labs will be connected to your Zoho Billing organisation.


Configure Payment Terminal

After connecting Pine Labs, you can add your merchant IDs and terminal devices to process in-person payments at your store.

Add Merchant ID

  • Go to Settings and select Payment Gateways under Online Payments.
  • Click Manage next to Pine Labs.
  • Under the Client IDs tab, click Add Client ID.
  • Enter the Client ID and Client Secret for the merchant you want to add.
  • Click Save.

Add Terminal Devices

  • Go to Settings and select Payment Gateways under Online Payments.
  • Click Manage next to Pine Labs.
  • Under the Terminal Devices tab, click Add Terminal Device.
FieldDescription
IMEIThe IMEI number of the Pine Labs terminal device. This can be found in your Pine Labs Merchant Dashboard.
Client POS CodeThe POS code assigned to the terminal device by Pine Labs.
Terminal NameA name to identify and distinguish the terminal device within your organisation.
Payment GatewayThe payment gateway assigned to process transactions through this terminal. This is pre-set to Pine Labs.
Associated Client IDThe Client ID under which this terminal device is registered.
  • Click Save.

Record a Terminal Payment From an Invoice

Use the invoice’s Details page when you want to record payment for a specific invoice.

To record a terminal payment from an invoice:

  • Go to Sales > Invoices.
  • Select the invoice for which you want to record payment.
  • Click the Record Payment dropdown.
  • Select Record Payment.
  • Enter the amount received.
  • Select Pine Labs in the Payment Mode field.
  • Enter the terminal transaction reference shown on the POS device.
  • Click Record Payment.

If the full invoice amount is recorded, the invoice status changes to Paid. If only part of the invoice amount is recorded, the invoice status changes to Partially Paid.


Record Pine Labs Terminal Payments

After setting up Pine Labs, you can record payments received through the terminal from the Payments Received module.

To record the payment:

  1. Go to Payments > Payments Received.
  2. Click the + New button in the top right corner.
  3. Select the customer from whom you received the payment.
  4. Enter the amount received.
  5. Select Pine Labs as the Payment Mode.
  6. Enter the Pine Labs terminal transaction details.
  7. Apply the payment to the customer’s invoice.
  8. Click Save.

The payment will be recorded against the selected customer and invoice.


More Actions

You can manage your existing Pine Labs client IDs and terminal devices using the following actions.

Edit Terminal Device

You can update the details of an existing terminal device at any time.

  • Go to Settings and select Payment Gateways under Online Payments.
  • Click Manage next to Pine Labs.
  • Under the Terminal Devices tab, hover over the terminal device you want to edit and click the More icon.
  • Make the necessary changes and click Save.

Mark a Terminal Device as Inactive

You can mark a terminal device as inactive to temporarily disable it without removing it from your configuration.

  • Go to Settings and select Payment Gateways under Online Payments.
  • Click Manage next to Pine Labs.
  • Under the Terminal Devices tab, hover over the terminal device you want to mark as inactive and click the More icon.
  • Click Mark as Inactive.

Delete Client ID/Terminal Device

You can delete a client ID or terminal device that is no longer needed.

  • Go to Settings and select Payment Gateways under Online Payments.
  • Click Manage next to Pine Labs.
  • Under the Client IDs or Terminal Devices tab, hover over the item you want to delete and click the More icon.
  • Click Delete and OK to confirm the action.

Troubleshoot Terminal Payment Setup

If Zoho Billing does not accept the terminal value, check the details in your Pine Labs Merchant Dashboard and try again.

Use this checklist:

  • Confirm that the Client ID and Client Secret entered in Zoho Billing are correct and active.
  • Confirm that the terminal device’s IMEI and Client POS Code are active in your Pine Labs Merchant Dashboard.
  • Verify that the terminal device is associated with the correct Client ID.
  • Contact Pine Labs support if the terminal device is not visible in your dashboard.

After correcting the details, update the provider settings in Zoho Billing and save the changes.
