Add and Manage Petty Cash Accounts
Add Petty Cash Account
Once you’ve enabled the Petty Cash Accounts module for your organisation, you can add your businessโs petty cash accounts in Zoho Expense to easily record and manage all petty cash expenses.
To do this:
- Navigate to the Admin View.
- Click Petty Cash Accounts on the left sidebar.
- Click + Add Petty Cash Account in the top right corner of the page.
- In the pop-up, enter the Account Name.
- Enter the Account Code if needed.
- Currency will be pre-filled with your organisation’s base currency.
- Select an Account Owner from the dropdown.
- Provide a Description if required.
- Click Save. The petty cash account will be created for the user.
Notes: Once you assign an account owner, you cannot change it later.
Once you’ve created a petty cash account, you can edit it, record top-ups and withdrawals, mark it as inactive, delete it, and export it.
Edit Petty Cash Account
You can edit the details of a petty cash account.
Note: You can only edit the Account Name, Account Code, and Description.
To do this:
- Navigate to the Admin View.
- Click Petty Cash Accounts on the left sidebar.
- Click the Account Name of the account that you want to edit.
- Click the More icon in the top right corner.
- Select Edit Account from the dropdown.
- In the pop-up, make the required changes.
- Click Save.
Mark Petty Cash Account as Inactive
If you no longer require a petty cash account, but want to retain its transaction history for record-keeping or auditing purposes, you can mark it as inactive.
Note: You can later choose to mark a petty cash account as active again.
To do this:
- Navigate to the Admin View.
- Click Petty Cash Accounts on the left sidebar.
- Click the More icon on the end of the petty cash account you want to mark as inactive.
- Select Mark as Inactive from the dropdown.
(Or)
- Navigate to the Admin View.
- Click Petty Cash Accounts on the left sidebar.
- Click the Account Name of the account that you want to mark as inactive.
- Click the More icon in the top right corner.
- Select Mark as Inactive form the dropdown. The petty cash account will be marked as inactive.
Mark Petty Cash Account as Active
You can mark a petty cash account active that was previously marked as inactive.
To do this:
- Navigate to the Admin View.
- Click Petty Cash Accounts on the left sidebar.
- Click the More icon on the end of the petty cash account you want to mark as active.
- Select Mark as Active from the dropdown.
(Or)
- Navigate to the Admin View.
- Click Petty Cash Accounts on the left sidebar.
- Click the Account Name of the account you want to mark as active.
- Click Mark as Active in the top right corner.
Delete Petty Cash Account
If you no longer need a petty cash account, you can delete it. Here’s how:
Note: You cannot delete a petty cash account if you’ve recorded transactions in it. Instead you can mark the petty cash account as inactive.
- Navigate to the Admin View.
- Click Petty Cash Accounts on the left sidebar.
- Click the More icon next to the petty cash account you want to delete.
- Select Delete from the dropdown.
- In the pop-up, click Delete again to confirm the action.
(Or)
- Navigate to the Admin View.
- Click Petty Cash Accounts on the left sidebar.
- Click the Account Name of the account you want to delete.
- Click the More icon in the top right corner of the page.
- Select Delete from the dropdown.
- In the pop-up, click Delete again to confirm the action.
Export Petty Cash Accounts
You can export all petty cash transactions, expenses, top-ups, and withdrawals from an account.
- Navigate to the Admin View.
- Click Petty Cash Accounts on the left sidebar.
- Click the Account Name of the account you want to export.
- Click the More icon in the top right corner.
- Select Export from the dropdown.
- In the pop-up, select whether you want to export all transactions, petty cash expenses, petty cash top-ups, or petty cash withdrawals.
- Select the Start Date and End Date if needed. Transactions for the selected start and end dates will be exported.
- Select the format (CSV, XLS, or XLSX) in which you want to export the petty cash data.
- If you want to secure the export file with a password, mark I want to protect this file with a password and provide a password in the Password field.
- Click Export to download the data to your computer.
