Integrate Zoho Expense With GetThere

GetThere is an online travel management solution, which helps employees book tickets for their business trips. You can configure travel policies in GetThere and employees from your organisation will be able to select their own flights, hotels, etc., based on the travel policy which you’ve set. Tickets will be booked automatically as soon as trip requests have been approved in Zoho Expense.

How the integration works

After integrating with GetThere, the users in your organisation can make their own travel bookings while creating trips in Zoho Expense. Users can choose from a list of flights, hotels, and other modes of transport, which GetThere will fetch based on the trip’s itinerary. Once the users choose their preferred option, they can send it for approval in Zoho Expense. When the trip gets approved in Zoho Expense, GetThere will make these bookings automatically, thereby saving time and effort. You can also choose to customise the approval and ticket booking process in Zoho Expense.

Benefits of the integration

  1. Users can make their own bookings: While creating trip requests, users can select their preferred flights, hotels, and other modes of transport before submitting it for approval. Once approved, the tickets will be booked automatically.

When users create trips, GetThere will only display flights, hotels, and other modes of transport which are compatible with the policy you’ve set.


Enable Integration

To enable the integration:

  1. Click Admin View.
  2. Click the Gear icon at the top right side.
    (OR)
    Go to Settings on the left sidebar.
  3. Go to Travel under Integrations.
    Enable the Integration
  4. Click GetThere.
    Enable the Integration
  5. Click Contact Us next to the GetThere integration
  6. Briefly describe your requirements and click Submit.

After contacting us, our support team will get back to you shortly and will guide you through the process of setting up the integration.


Create a Trip with Booking

Once you’ve integrated with GetThere, the users can create a Trip with Booking and submit it for approval. Here’s how:

  1. Go to the Trips module on the left sidebar.
  2. Click the + New Trip dropdown in the top right corner.
  3. Select New Trip with Booking. Enable the Integration
  4. In the page that opens, select flight, hotel, train, and/or car - the option for which you would like to create an itinerary.
  5. Enter the required itinerary details and click Search. GetThere will fetch all the travel options that are available for you based on your company’s policies and preferences.
  6. Select your preferred travel options and submit the trip for approval. A trip request with the complete itinerary will be created in Zoho Expense and it will be submitted to your approver.

As soon as the trip has been approved, the travel bookings will be processed and the expense and booking data will be synced to Zoho Expense.


Disable Integration

If you disable the integration, your users will not be able to make online bookings for their business trips.

To disable the integration:

  1. Click Admin View.
  2. Click the Gear icon at the top right side.
    (OR)
    Go to Settings on the left sidebar.
  3. Go to Travel under Integrations.
  4. Click GetThere.
  5. Click Disable next to the GetThere integration
  6. Click Confirm in the popup that follows.

Now, the integration has been disabled.
