Comparing Zoho Mail and Zoho Workplace

Much like picking between tea and coffee, there's no wrong pick. It all boils down to what your business needs, and when.

Think of Zoho Mail as your business's mailroom, and Zoho Workplace as the entire building.

  • Zoho Mail hosts your business emails.

If you need email only, choose a Zoho Mail plan.

  • Zoho Workplace has Zoho Mail plus file storage, an office suite, team chat, and video meetings.

If your team also creates and shares documents,
    choose Zoho Workplace.

  • Worth noting

Workplace Standard is not a straight upgrade from Mail Premium. Standard adds collaboration apps but leaves out email retention, eDiscovery, and S/MIME. Only Workplace Professional includes everything from both.

Two questions settle it

Question 1: Does your team need to create and share documents, spreadsheets, or presentations inside Zoho?

  • No:a Zoho Mail plan.
  • Yes:a Zoho Workplace plan.

Question 2: Do you have email retention, eDiscovery, or S/MIME requirements?

  • Yes, and you answered no above:Mail Premium.
  • Yes to both:Workplace Professional.
The good news

This is a reversible decision

Most people arrive at this page worried about picking wrong. Very little is actually at stake. Your Zoho Mail user list is the master user list across every Workplace app. So moving from a Mail plan to a Workplace plan doesn't mean rebuilding accounts or migrating email a second time—the extra apps simply switch on for the people you already have.

Set up your users and inboxes with Zoho Mail

Add Workplace apps

Switch on extra apps whenever you're ready

Same users, same inbox

No rebuilding accounts or migrating email again

What it looks like in practice

  • A 4-person consultancy signs up for Mail Free*, runs on webmail and the mobile app. When they hire a fifth and sixth person they move to Mail Lite, because the sixth user ends the free plan for everyone.

  • A 60-person clinic needs S/MIME and retention for patient correspondence but has an existing document system it isn't replacing, Mail Premium.

  • A 25-person agency replacing Google Workspace wants email, shared drives, docs, chat, and meetings in one bill. Workplace Standard.

  • A 200-person financial services firm needs the collaboration suite and legal hold. Workplace Professional—the only plan with both.

*Mail free is available for users on USA, India, and European Union Data Centers only.

Private and ad-free,
on every plan.

Whichever plan you choose, Zoho Workplace apps never serve ads and Zoho never sells your data to third parties. That holds on the free plan too.

Get the best of both worlds

One final thing worth noting. You don't have to go all-in on any of the plans. Zoho lets you mix between Mail and Workplace plans—by assigning them to different user groups within the same organization. This helps optimize costs by giving your employees just what they want.

No. No Zoho Mail plan includes Zoho WorkDrive. File storage requires a Workplace plan or a separate WorkDrive subscription.
