Other Actions in Users

In this help document, you’ll learn the other actions you can perform on the users in your organization.

Search a User

If you want to locate a particular user from the list of users, you can search for the user. Here’s how:

  • Go to People on the left sidebar.
  • Click Users.
  • Click the Search icon in the right corner.

  • You can enter any of the field value of the particular user that you want to view.
  • Click Search.

Bulk Update Users

If you need to update the user role for multiple users at once, you can use the bulk update option. Here’s how:

  • Go to People on the left sidebar.
  • Click Users.
  • Select the users for whom you want to update the user role.
  • Click Bulk Update from the top pane.
  • Select the role from the dropdown and click Save.

Bulk Invite Users

Here’s how you can send invite to multiple users at once:

  • Go to People on the left sidebar.
  • Click Users.
  • Select the users in the Invited status.
  • Click More from the top pane.
  • Click Invite.

Mark Users as Active in Bulk

Here’s how you can mark multiple users as active at once:

  • Go to People on the left sidebar.
  • Click Users.
  • Select the users that you want to mark as active.
  • Click More from the top pane.
  • Click Mark as Active.

Here’s how you can mark multiple users as inactive at once:

  • Go to People on the left sidebar.
  • Click Users.
  • Select the users that you want to mark as inactive.
  • Click More from the top pane.

Here’s how you can delete multiple users at once:

  • Go to People on the left sidebar.
  • Click Users.
  • Select the users that you want to delete.
  • Click More from the top pane.
  • Click Delete.

Super Admin

Super Admin is a privilege that is automatically assigned to the admin who creates an organization. In addition to the standard admin permissions, the Super Admin has authority over other admins within the organization.

Note: There can be only one Super Admin in an organization, and they’re the same across all the Zoho Finance applications.

Unique Privileges of a Super Admin

  • Only the Super Admin can set up their organization in other Zoho Finance applications. For example, if you’re a Super Admin in Zoho Spend, only you can set up that organization in Zoho Inventory, Zoho Books, and so on.
    • If any other admin wants to set up the organization, they must send a request, and the Super Admin must approve it.
    • Once an admin requests access, the Super Admin will receive an email with the request link. The link will show the list of admins who have requested access. The Super Admin can choose to accept or reject the request.

Note: Once the request is approved, the admin can join the organization in the respective Zoho Finance application, and will continue to have the Admin role in that organization.

  • Only the Super Admin can delete the organization.

Assign Super Admin

If your organization doesn’t have a Super Admin, you can assign an eligible admin as the Super Admin.

Note: An eligible admin is a user who has an active Admin role across all Zoho Finance apps in your organization.

To assign a Super Admin:

  • Go to Settings in the top right corner of the page.
  • Click Users under Users & Roles.
  • Click Assign Super Admin in the banner displayed at the top of the page.
  • In the pop-up that appears, select the required eligible admin.
  • Click Make Super Admin.

The selected admin will now become the Super Admin of your organization. All admins in your organization will receive an email about this. A pop-up will also be displayed in the app, where they can complete one of the following actions within 7 days:

  • Click Okay to accept the new Super Admin.
  • Click Change Super Admin to assign a different one. This option is available only to eligible admins in your organization.
  • Click Revoke to remove the assigned Super Admin. This option is available to other admins in your organization.

Change Super Admin

If you no longer want to be the Super Admin of your organization, you must assign another eligible admin as the new Super Admin.

Note: An eligible admin is a user who has an active Admin role across all Zoho Finance apps in your organization.

To change the Super Admin:

  • Go to Settings in the top right corner of the page.
  • Click Users under Users & Roles.
  • Hover over the user and click the More icon.
  • Select Mark as Super Admin.
  • Confirm your action by clicking Mark as Super Admin in the pop-up.

The selected user will become the Super Admin for your organization, and you’ll be automatically assigned the Admin role.
