Configure Poly Desk Phone with Zoho Voice
Zoho Voice supports integration with IP-enabled Poly desk phones, widely used in call centres and professional setups. This enables you to make and receive Zoho Voice calls directly through your Poly SIP (Session Initiation Protocol) phone, offering an extensive calling experience using your existing hardware.
Note
Zoho Voice supports all SIP phone models under the Poly brand.
Configuring Poly SIP Phone
Follow the steps below to connect a Poly SIP phone with your agent's Zoho Voice account.
Steps to configure in Zoho Voice
Go to Settings → Deskphone and click Config New Phone.

In the Add New Deskphone prompt, select the agent to whom you want to configure the desk phone and select the model as Poly.

Enter the MAC address of your hard-phone device.
Note
To locate your desk phone’s MAC address, press the Home button, then go to Settings → Status → Network → Ethernet.
Select the phone number you want to use as the Outgoing caller ID while making calls from your desk phone.
Click Save to confirm your selection.
Zoho Voice will then generate a configuration file (.cfg) - download this file to proceed with your desk phone setup.

The saved configuration will appear on the Deskphone homepage. The agent specified in the configuration will receive an email with their SIP authentication details. If they haven’t received it, click the Reload (Resend Credentials) icon to resend the credentials.

To change the agent assigned in the saved configuration, click the Edit icon. Similarly, to remove the configuration, click the Delete icon.

Steps to follow on your Poly Desk Phone
For successful configuration, you need to log in to the Poly device web User Interface (UI). In order to access the web UI, you need to know the IP address of your Poly IP phone. To find the IP address of your desk phone:
Press the Home button on your Poly desk phone.
Navigate to Settings, then Status → Platform → Phone → IPv4 Addr option to locate the IP address of your device.
Once you have obtained the IP address, Enter the IP address in your browser (e.g., https://192.168.0.10 or 192.168.0.10). This will take you to your Poly desk phone's web UI.

Steps to configure in your Poly web UI
Log in to your poly desk phone's web UI by entering your Username and Password based on your user type (Admin or User). Click the Submit button to proceed.
From the top menu bar, select Utilities → Import & Export Configuration.

Under the Import Configuration section, locate the option Import CFG Configuration File. Click Browse and upload the .cfg file you previously downloaded from Zoho Voice.

Click Import to update the configuration successfully.
Click the Simple Setup menu from the top menu bar and navigate to the SIP Line Identification section.
Paste the SIP Authentication Password (sent via email) into the Authentication Password field.

Click Save, then select Yes to confirm the configuration changes.

To confirm the registration status, on your Poly desk phone, press the Menu key and navigate to Settings → Status → Lines.
If the registration is successful, the status next to your username will show Registered.
Note
In the event of an unsuccessful registration, please make sure to factory reset your device and then retry the registration steps mentioned above
After completing the above steps, your Poly desk phone is fully configured to manage all Zoho Voice calls that are assigned for the specific agent.
Special Notes
- User extensions in Zoho Voice must be between 4 to 5 digits long. Ensure that all your current extensions follow this format to ensure proper functionality.
- Contacts from the Zoho Voice Contacts module are displayed only during incoming calls.
- When transferring calls via your Poly desk phone, the recipient cannot record or further transfer the call.
