Zoho Mail extensions for business, Part 2: Setting up shop

In the first part of this series about Zoho Mail extensions, we met Chloe, a solopreneur running her own marketing agency. We saw how she got her business up and running. She used Zoho Mail to create a custom email domain for her business to appear professional, and her website needs were taken care of by WordPress.

She set up the Zoho Mail extension for WordPress. This means that whenever she publishes a blog on her website, it’s automatically sent as a newsletter to her subscribers. This has helped her increase her online brand presence.

Because of her increased online presence, Chloe started getting a lot of business inquiries and started onboarding clients in large numbers. She had to set up an effective workflow to make sure her operations were running smoothly.

Her goal was to organize her projects in a way that ensures both productivity and collaboration to flourish.

First things first, Chloe needs to sign her clients to seal the deal. She drafts an agreement to be sent via email. Using the DocuSign integration for Zoho Mail, she maintains control over where the client needs to sign and also has the option to send reminders, set an expiration date for the envelope, and get notifications once the client signs.

For her project management needs, Chloe uses Asana. This keeps a tab on her projects and notifies her of any upcoming deadlines.

She again turns to the Zoho Mail integration to help her maximize a frictionless working experience with Asana. Whenever she receives an email from a client, it can be turned into a task without leaving the email page. The Asana extension populates itself from the subject line and the contents of the email.

Chloe can now focus better and be more productive by reducing tab-switching friction.

Client calls are valuable to keep them up to speed on everything that's going on with their project. Hopping on a quick video call can put Chloe's clients at ease, knowing that she cares about them and that the project is on track.

Zoom is Chloe’s go-to when it comes to video conferencing. Using Zoom, Chloe can engage in a face-to-face conversation. This allows for conversations to be more expressive instead of just being a voice.  

Whenever her client sends her an email requesting a meeting, she can use the Zoom integration with Zoho Mail to create an instant meeting. Zoom will auto-populate the meeting and description fields from the contents of the email.

For a meeting-heavy solopreneur, this is a lifesaver for Chloe. It negates the need for her to open a new tab and manually enter the meeting name, description, and participants. This integration also gives Chloe the liberty to glance at her upcoming meetings within the Zoho Mail application.

After a meeting, Chloe gets the minutes of the meeting sent to her via email. These emails usually come packed with valuable information that needs to be stored in her note-taking app separately for her to reference in the future.

The Evernote integration with Zoho Mail lends her a hand with this task. Just one click, and all of her email contents will be populated in Evernote. This saves her a ton of time because she doesn't have to type everything in her notes manually.

The next chapter will delve into one of the most important aspects of any business: finance. No business can afford to slack off in this area, but Zoho Mail extensions have Chloe's best interests at heart.
