How to prepare invoice data for UAE eInvoicing and AI agents

A missing digit in a customer's Tax Registration Number (TRN), an address with no city, an item with the wrong tax code: on a PDF invoice, gaps like these can still go out. On a UAE eInvoice, each of those values fills a mandatory field, and the invoice is checked field by field before it reaches the customer.

Fix them before go-live. The same records also decide how useful AI agents can be, because agents build invoices from them.

Short answer:
Check that customer, supplier and item records hold what the mandatory fields need: legal names, TRNs, complete addresses, units, VAT treatments, currency and payment terms. Fix the busiest records first, name an owner for each record type, and test before go-live.

Why does invoice data decide whether an eInvoice goes through?

A UAE eInvoice is structured data in PINT AE, the Peppol International (PINT) format customised for the UAE. The Ministry of Finance (MoF) mandatory fields document lists 51 fields for a tax invoice and 49 for a commercial invoice.

When a required value is missing or in the wrong format, the invoice can fail before it is sent, or the receiving side can reject it. An eInvoice that isn't issued on time can also lead to an administrative fine (see UAE eInvoicing penalties). A value can still pass every check and be wrong, such as an old address, so the checks don't replace a review.

Which details about your own business should you check first?

Your own details appear on every invoice you send. To set up eInvoicing, Zoho Books asks for your registered business name, Tax Identification Number (TIN), TRN, address and the email you use for EmaraTax, the Federal Tax Authority (FTA) portal. These must match what the FTA holds. Any change you make there also updates your organisation profile.

Which 11 areas should you check before go-live?

Area

eInvoice fields it feeds

What to check

Customer names

Buyer name

The legal name registered with the FTA, not a short or branch name

TRN details

Buyer tax identifier; buyer electronic address

A valid TRN for every VAT-registered customer, and the right tax treatment for the rest

Billing addresses

Address line, city, country subdivision, country code

UAE addresses have a street, city and emirate; overseas addresses show the right country

Supplier details

Seller details on bills you receive

Legal names and TRNs match what suppliers send

Item names

Item name; description

Clear names a customer can recognise

Units of measure

Unit of measure code

Each unit is used consistently, since the field takes a code, not free text

Tax codes

Tax category code and rate

The right VAT treatment, such as standard rate, zero-rated, exempt, out of scope or reverse charge

Currency

Invoice currency; VAT and line amounts in AED

Foreign-currency customers have their currency set

Payment terms and method

Payment due date; payment means code

Payment terms set when the customer pays; the payment method, such as bank transfer, is a separate value. Check both

Invoice templates

None directly

The PDF copy matches the eInvoice data

Contact details

None directly

A working email address for every customer

The TRN usually matters twice. It fills the buyer's tax identifier, and for most customers its first 10 digits (the TIN) also form the buyer's Peppol address: 0235 followed by the TIN. A member of a VAT group is the exception, because its Peppol address comes from its own TIN, not the group's TRN. See ERP integration and master data for all 51 fields.

How do you clean up customer and supplier records in Zoho Books?

In Zoho Books, these details sit in each contact. The UAE contacts help page lists six tax treatments: VAT Registered, Non VAT Registered, GCC VAT Registered, GCC Non VAT Registered, VAT Registered - Designated Zones and Non VAT Registered - Designated Zones. Each contact also holds its TRN, its place of supply (the emirate, or the country for a GCC contact) and its currency. When you send an eInvoice, Zoho Books checks that the required fields are present, including your TRN and your customer's TRN.

A practical order for the cleanup:

  1. Sort customers by how many invoices you send them, and fix the busiest first.

  2. Merge duplicate customers created under different spellings, once you have confirmed they are the same legal entity.

  3. Ask each VAT-registered customer for its TRN certificate, and update the legal name and TRN together.

  4. Fill in missing cities and emirates.

  5. For free zone customers, check the tax treatment and note the beneficiary if it differs from the customer, since the eInvoice may need its details (Guidelines, section 10.4).

  6. Repeat the checks for vendors, then test with a few invoices and trace each rejection back to its record.

Example. A record shows "ABC Trading", a 14-digit TRN and no emirate. After cleanup, it shows the legal name from the TRN certificate, "ABC General Trading LLC", the full 15-digit TRN and "Dubai". Its next eInvoice carries the right buyer details.

New to Zoho Books? You can import contacts from a file and check how each column maps to a field (contacts help page). See how UAE eInvoicing works in Zoho Books.

What should you check on items, units and tax codes?

● One item, one name. Merge duplicates such as "Consulting" and "Consultancy" once you have confirmed they are the same service.

● Units used consistently. If one invoice says "hrs" and another "hours", pick one. The eInvoice carries a standard unit code, not the label you type, so each label should always mean the same unit. Ask your ASP or software provider which code each label sends, and check it on a test invoice.

● VAT treatment set per item. Don't leave an exempt or zero-rated item on the standard rate. The treatment also decides the document: a tax invoice for standard-rated and zero-rated supplies, and a commercial invoice for supplies that don't need one, such as exempt supplies (Guidelines, section 10.2.1).

Why do invoice templates and contact details matter for eInvoicing?

Neither fills a mandatory field, but a PDF copy should show the same totals, dates and tax as the eInvoice. Zoho Books includes a Standard E-Invoice Bilingual Template in English and Arabic.

For a customer that isn't on Peppol yet, Zoho Books lets you send the invoice as a PDF by email, so an old email address means the customer doesn't get its copy. For a tax invoice, the rules still require the eInvoice itself, sent to a fixed Peppol address (Guidelines, section 10.2.2).

Who should own each record after go-live?

Record

Suggested owner

When to check it

Customer names, TRNs, addresses

Sales operations or accounts receivable

When a customer is added or its details change

Supplier details

Accounts payable

When a supplier is added, or an incoming eInvoice doesn't match

Items, units and tax codes

Finance, with the tax adviser

When an item is added or its VAT treatment changes

Your own company details

Finance manager

When the FTA confirms a change. Your ASP must be told within 5 business days (MD 243 of 2025, Article 5)

How does clean data help AI agents in Zoho Books?

AI agents work from the same records as your invoices. The Zoho Books AI features include:

● CoCreate Agent, which creates quotes, sales orders, invoices and credit notes from plain-English prompts

● Zia Invoice Agent, which shows overdue and outstanding invoice insights at the top of the invoice list

● Ask Zia, an assistant that can create records or answer questions about your data

Check the help page for what is available in your organisation.

Zoho Books MCP (Model Context Protocol) connects your organisation to AI models such as Claude and ChatGPT, so an agent can create invoices and add or update customers, vendors and items. Zoho advises getting approval from your organisation's admin first. An agent uses the details already saved in Zoho Books, so wrong records can carry errors into its invoices. Creating an invoice is a separate step from sending it as an eInvoice, so review each one before it is sent. For example, an agent creating an invoice for ABC General Trading LLC after cleanup picks up the legal name, the 15-digit TRN and the Dubai address saved on that contact. Before cleanup, it would have used the short name and the 14-digit TRN. See AI in UAE finance and eInvoicing.

Frequently asked questions

What if a customer won't share its TRN?

Explain in writing that a VAT-registered buyer's TRN is a mandatory field on a tax invoice. If the customer says it isn't registered for VAT, set its tax treatment to Non VAT Registered.
