Chhabra Brothers sources building and interior materials from China, Korea, India, and Europe and supplies them in Thailand and neighbouring countries, like Cambodia, Vietnam, Laos, and Myanmar. The challenge

Previously, the company relied on manual processes for all its sales activities. They created quotes in Excel and managed inventory through StoreHub, while Power BI and Tableau provided data analysis capabilities. This fragmented approach made it challenging to access real-time insights. Additionally, their quotation system lacked a connection to the delivery process, and they also needed to consolidate data from two subsidiaries into a centralized product database.

To address this, they sought a unified platform that could streamline KPI monitoring, inventory management, data recording, and analysis—all while offering mobile access for on-the-go updates.

The solution

Leveraging Zoho Creator, Chhabra Brothers developed a comprehensive end-to-end supply chain management ERP. This software serves as a unified platform for managing their entire supply chain, encompassing purchasing, sales, accounting, inventory, and delivery. It has specific functionalities that cater to each team:

• Sales: Manage customer interactions, schedule meetings, track tasks, and create sales opportunities
• Quotations: Generate and manage quotations more efficiently
• Warehouse: Maintain accurate inventory levels and optimize delivery processes
• Procurement: Create purchase orders and streamline communication with vendors
• Delivery & transport: Manage driver assignments and packing tasks, and ensure timely deliveries
• Accounting: Automate invoicing and streamline the collections process

Additionally, they created a customer portal app that provides real-time check-in location updates upon form submission. Drivers can also check in during product deliveries. Leveraging Zoho Cliq, they send notifications to customers or vendors directly from Zoho Creator. Quotation owners can then seamlessly approve quotes or purchase orders by clicking a link within the Zoho Cliq notification, which redirects them to the relevant document in Zoho Creator. This approval is required before the workflow progresses to the next stage.

Benefits

The company has implemented a streamlined inventory management process that reverses the traditional workflow. Previously, quotations and inventory were managed through two separate apps, causing confusion between the sales and inventory teams. Maintaining consistent product codes across different variations (color, size, thickness, texture, etc.) was also a challenge.

Zoho Creator has solved these issues by enabling them to create a unique code for each item up front. During the quotation process, this data is seamlessly pulled from the same system, ensuring the code remains consistent throughout the workflow, including purchase orders.

This new system has resulted in a significant 30% increase in inventory management efficiency. The company has also seen cost reductions and improved productivity.
