Edit Items
To edit an item:
- Go to Items on the left sidebar and select Items.
- Select the item you want to edit.
- Click the Edit icon in the top right corner of the item’s Details page.
- Make the necessary changes and click Save.
Note: The changes you make in an item will not affect the previous transactions associated with the item.
Clone Items
If you want to create an item that is similar to an existing one, you can clone the item. Here’s how:
- Go to Items on the left sidebar and select Items.
- Select the item you want to clone.
- Click the More icon in the top right corner and select Clone from the dropdown.
- Enter the required details and click Save.
A new item with similar details will be created.
Mark as Inactive
If you no longer use an item in your organization, you can mark them as inactive. This is a better alternative instead of deleting the item permanently.
To mark an item as inactive:
- Go to Items on the left sidebar and select Items.
- Select the item you want to mark as inactive.
- Click the More icon in the top right corner and select Mark as Inactive from the dropdown.
The item will be marked as Inactive. To mark the item as Active again, click the More icon in the top right corner and select Mark as Active from the dropdown.
Delete Item
If you no longer need an item in your organization, you can delete it permanently. Before deleting an item, ensure that all transactions associated with it are deleted first.
To delete an item:
- Go to Items on the left sidebar and select Items.
- Select the item you want to delete.
- Click the More icon in the top right corner and select Delete from the dropdown.
- In the pop-up that appears, click Delete to confirm.
Export Items
You can export the items from Zoho Books to your systems in the CSV, XLS, or XLSX formats. Here’s how:
- Go to Items on the left sidebar and select Items.
- Click the More icon in the top right corner and select Export Items from the dropdown.
- In the pop-up that appears, enter the required details:
- Select the Module you want to export.
- Select whether you want to export All Items or items that were recorded in a Specific Period.
- If you want to export items on a specific period, provide the Start Date and End Date.
- Select the Export Template in which you want to export the items. If you do not have a template created, click + New Template from the dropdown.
- In the New Export Template pop-up, enter the Template Name.
- Select the fields available in Zoho Books that you want to display in the export template. For each selected field, enter the name that will appear in the export file.
- Click Save and Select.
- Enter the Decimal Format of the amount that will be displayed in the export file.
- Select the Export File Format in which you want to export the file.
- Check the option Include Sensitive Personally Identifiable Information (PII) while exporting if your export file includes PII data.
- Provide a Password for your export file, if required.
- Click Export.
The items will be exported.
