Ever shared a document only to realize someone accidentally edited something they shouldn’t have?
With restricted editing using fillable fields, you can:
Keep important text unchanged while allowing input in specific fields.
Share documents where others can only fill in the designated fields.
Collaborate without worrying about accidental modifications.
Imagine a warehouse or office where employees need to log daily activities, but the overall format must remain intact.
Here’s how a manager can set up a collaborative daily log in Zoho Writer:
Create a structured Daily Log with fillable fields like Date, Employee Name, Task Completed, Work Hours, and Notes.
Step-by-step instructions for creating a fillable template in Writer
Note: This feature is not limited to fillable templates; you can leverage it in any Writer document, including sign and merge templates, when collaborating on a document before sending it out for signing or running a merge.
Enable collaborative filling by clicking Finish > Share to Fill.
Enter the email addresses of employees who need to update the log.
From the Access Level dropdown, select Edit Field Values—this lets employees add entries while keeping the document structure intact.
Click Share, and the log is ready to use.
Now, each employee can fill in their row with the day’s details, but they can’t edit or modify the format, which ensures accuracy and consistency.
Note: When multiple users have Edit Field Values access, their edits in the fillable fields can be tracked and reviewed just like regular document edits. More info.
