
Items
Items are the goods or services that you deal with in your business.
Whenever you create transactions for your customers or vendors, you can add these items and their details will be auto-populated.

Create Items
To create an item in Zoho Books:
- Go to Items on the left sidebar and select Items.
- Click + New in the top right corner.
- In the New Item page, select whether the item that you want to sell is Goods or Services.
- Enter the Name and Unit of the item.
- Check the option It is a capital asset if the item is a long term investment or a resource for your business. Learn more about capital assets.
- Enter the HSN Code for the item, if required.
Note: The HSN Code field will be displayed only for items classified as Goods. Learn more about HSN Code.
Sales Information
Fields | Description |
---|---|
Rate | Rate at which you sell the item to your customers. This rate will be reflected on your sales transactions like invoices, sales orders, etc. |
Account | Account used to track sales of the item. |
Description | Add notes related to sales of the item. |
Purchases Information
Fields | Description |
---|---|
Rate | Rate at which you buy the item from your vendors. This rate will be reflected on your purchase transactions like bills, purchase orders, etc. |
Account | The Cost of Goods Sold account is used for tracking the purchase made for items in Zoho Books. |
Description | Add notes related to purchases of the item. |
Associate Tags
You can also associate reporting tags to items in Zoho Books.
- Check the option Track inventory for this item to keep track of your stock, and enter the required details:
Fields | Description |
---|---|
Inventory Account | Select the account you want to track the inventory details of the item. By default, it is Inventory Asset. |
Opening Stock | Enter the quantity of the item you have in hand on the opening balance date. |
Opening Stock Rate Per Unit | Enter the cost at which you purchased the item for the opening stock. |
Reorder Point | Enter the quantity at which you want to reorder the item in stock. When the quantity reaches this level, you’ll receive a notification. |
- Click Save.
The item will be created
Import Items
If you already have a list of items, you can import them into Zoho Books in the CSV, TSV, or XLS formats. To do this:
- Go to Items on the left sidebar and select Items.
- Click the More icon in the top right corner and select Import Items from the dropdown.
- Click Choose File to upload the import file. You can also download a sample file for your reference.
- Click Next.
- In the Map Fields page, ensure that the the fields are correctly mapped with the headers of the import file.
- Click Next.
- In the Preview page, click Import.
The items will be imported.
